Terms and Conditions for Aurora North Coast (hereinafter “Aurora”)

Personal Details

Personal information provided to Aurora will not be shared with any third party.

Restrictions on Rental

Elements of the Aurora experience are not suitable for some guests with infants and small children. You should satisfy yourself prior to booking that this accommodation is suitable for your family group. Aurora only permits children aged 6 years and over to stay in the Log cabins.

Aurora reserve the right to refuse any booking prior to the processing of the booking deposit and your booking confirmation being issued.

Accommodation at Aurora is restricted solely to within the Log Cabins themselves. Other forms of accommodation, camper vans, caravans etc. are not permitted.

Aurora reserve the right to remove any person or persons from the property due to unreasonable behaviour, or any behaviour that adversely impairs the enjoyment of other guests (including excessive noise), damage to the property, exceeding the stated occupancy (4 persons), or other breach of these Terms & Conditions. In such cases, refunds will be at the sole discretion of Aurora.

It is a condition of booking that a log cabin may only be occupied by the person named in the booking and their family and/or companions. Aurora log cabins may not be sub-let to a third party. If this is found to be the case, the third party will have no legal right of occupancy and will be required to vacate the site immediately.

Making a Reservation

The Lead Guest making the reservation must be 21 years or over to book accommodation at Aurora. Reservations can be made via our online booking system, email or by telephone.

A deposit of 20% is payable via credit/debit card at the time of booking. Booking deposits are non-refundable in the event of cancellation by you. It is strongly recommended that you are protected by holiday/travel insurance.

The balance payment is to be paid 8 weeks prior to arrival date. Balance payments are non-refundable in the event of cancellation by you.
Bookings made within 8 weeks of arrival date are payable in full at time of booking.

Your log cabin is furnished and decorated with carefully selected items some of which would cost a significant amount to replace, should that be required. For any loss or damage Aurora reserves the right to automatically charge you for any reinstatement, repair or replacement.

Any loss, damage or professional services incurred will be charged to the credit/debit card used at the time of your booking. Guests booked via third party or booking agent will be requested to provide credit/debit card details on arrival as security. No such charges/deposits will be levied against cards in advance.

Telephone bookings will be held for 10 days pending cleared receipt of the booking deposit, failing which, after 10 days the provisional booking will be cancelled, and the dates released.

All bookings are provisional until confirmed in writing by Aurora.

When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by email.

When you receive your written confirmation please check all the details carefully for accuracy and contact Aurora immediately if you find any discrepancy.

Cancellation

If you need to cancel your reservation for any reason Aurora must be notified immediately in writing.

We strongly advise that you take out holiday / travel insurance to cover any loss incurred by yourself.

In all cases of cancellation the booking deposit will be forfeited. Should cancellation occur less than 8 weeks prior to the date on which the holiday begins, Aurora will seek to re-let for all or part of the booking period, and if successful monies maybe refunded, less the deposit.

If a guest requests to cancel their reservation within 48 hours, due to an error on their behalf and it is agreed that monies paid will be refunded, a fee of £25 will be charged to cover administration.

COVID-19 Provisions

Any reservation made with Aurora is strictly subject to local government restrictions applicable at the time of your stay together with our Risk Assessment. If in the unfortunate event we are unable to operate at the time of your stay, you will be entitled to rebook your stay for an alternative date (subject to rates and availability) or request a full refund or voucher to the value of monies paid.

Aurora in partnership with The National Tourist Organizations of Great Britain and Northern Ireland, confirm that they have followed government and industry Covid 19 guidelines, ensuring processes are in place to maintain cleanliness and aid social/physical distancing

All guests are asked to adhere to the following during their stay:
• Anybody who is exhibiting symptoms or who has any reason to believe they may have come into contact with the virus up to 14 days prior to their booking must follow the Government instruction to self-isolate and follow NHS guidelines. Therefore, you should not arrive on site.

• We will ask guests to follow guidelines on social distancing, support bubbles and or any other guidance on groups issued by local government. It will be the responsibility of guests to ensure the booking group complies with such regulations at the time of your stay. As Aurora consists of two Log Cabins, it is relatively easy for guests to avoid contact with other guests. It is also possible to have a relaxing holiday without leaving the site should you wish.

• Hot tubs as a matter of course are serviced throughout your stay to ensure a high standard of hygiene, and therefore may be unavailable for a period of time whilst this servicing is completed by our staff.

Payment Formats

The preferred payment method is by debit or credit card via our automated online bookings system.

Aurora will not charge you any credit or debit card surcharges.

Bookings remain provisional and balances remain unpaid until payment has cleared.

Only one payment method and only one card is accepted per booking, unless you have otherwise agreed with Aurora.

Your Log Cabin

Your log cabin will be ready for you by 4pm on the day of arrival and must be vacated by 10:30am on day of departure, unless previously agreed otherwise between you and Aurora.

You will be notified in your booking confirmation which Log Cabin you will be staying in, including the directions to find it. Any arrivals after 7pm should be notified in advance.

You agree to keep the log cabin clean and tidy and leave it in a similar condition of cleanliness to that when you arrived. Any damages must be reported to Aurora staff prior to departure. Log cabins left in an excessively dirty or inappropriate manner may result in an additional cleaning surcharge. We offer a mid-stay cleaning service free of charge (where requested) for bookings of more than one week duration.

The numbers in your party must never exceed 4 which is the maximum stated capacity specified for your log cabin. Additional guests or visitors are not permitted other than those within your original booking party.

Pets

Unfortunately, due to our rural location and the close proximity of livestock, we do not permit pets at Aurora.

Fire Risks (Smoking, Candles, BBQ’s and Camp Fires)

Smoking is not permitted inside the log cabins or in any covered area but is permitted on the Aurora site outside of the buildings. You are requested to not drop cigarette butts on the ground anywhere on the site and make use of the provided cigarette bins.

Due to the high fire risk, candles are not permitted in the log cabins.

You are not permitted to make a camp fire. A BBQ is provided and should not be used anywhere except for at sites specifically designated for these purposes, agreed between you and Aurora.

Hot Tubs

Use of the Hot Tub is solely for guests over 12 years of age. Due to the water depth of 0.9m in our tubs, a minimum height restriction of 1.2m will also apply to under 16s.

On arrival you will be required to sign our Hot Tub Safety Sheet which gives guidelines for usage.

Whilst Aurora will use their reasonable endeavours to ensure that your hot tub will be available during your stay, there may be occasions where the hot tub will not be available due to maintenance, repair and or incidents outside of our control. In the event the hot tub is not available for any part of your stay Aurora cannot be held responsible for any disappointment caused nor will any refund partial or otherwise be due.

Damages

Aurora maintains a detailed inventory of all the contents of the log cabins, both practical items and decorative items. You will be required to pay for any item that incurs damage or is removed or lost.

Any loss or damage costs will be deducted from your credit/debit card details held by Aurora, we reserve the right to automatically charge you for any excess without prior authorization.

Items left behind in your Log Cabin

Items left behind, if not collected within 3 months will be donated to a local charity where applicable.

Personal Injury

You and all members of your party are responsible for your own safety.

You are reminded of the higher degree of risk the rural environment presents and you should take all appropriate and reasonable care for your safety and the safety of others at all times.

Personal Property

As well as cancellation and curtailment insurance, clients are recommended to take out holiday insurance to cover loss or damage to personal effects.

Vehicles, accessories and contents are left at their owner’s risk.

Aurora will not be responsible for any loss or damage to any personal property on the Aurora premises.

Utilities

Should there be a failure in any of the utilities or services provided by Aurora (e.g. water, heating, electricity, sewerage), we will attempt to restore the failed service/ utility as an absolute priority in a reasonable timeframe. Aurora will not pay compensation unless any failure of service/utility provided by Aurora extends beyond a continuous 24 hour period. Should any failure of service/utility provided by Aurora extend beyond a continuous 24 hour period, compensation will be proportionate to the loss of enjoyment suffered.

Aurora cannot be held responsible in any way for any failure of a service/ utility not directly provided by Aurora (e.g. TV signal, refuse collection, internet connection) but provided by third party suppliers which is totally outside the control of Aurora, and no compensation will be given in the event of any supply or service failure of this kind.

Aurora Site

Guests should not drive faster than 10mph on site.

Each Log Cabin has sufficient parking for two vehicles. In the event that a party wishes to park more than two vehicles per Log Cabin, they must notify Aurora staff who will advise where to park the additional vehicles.

Guests using bicycles are requested to keep to the Aurora roads and paths.

Availability

Each booking is made in good faith with the belief that the log cabin booked will be available to you on the date stated. If for any reason due to circumstances out-with Aurora control, the log cabin is not available, we may be unable to provide you alternative accommodation. In the event of this happening the deposit and balance will be refunded in full. You will have no further claim against Aurora.

To improve the facilities within the Aurora log cabins, Aurora reserve the right to alter or amend the facilities at Aurora. Aurora reserve the right to change any of the specifications of the log cabins at any time.

Extraordinary Circumstances during your Stay

Aurora accept no liability for events during your stay totally beyond our control, e.g. destruction of property due to flood, fire, earthquakes or acts of nature; or that the property becomes uninhabitable due to irreparable damage or on Health & Safety issues that could not reasonably have been foreseen. In such cases refunds will be at the discretion of Aurora.

Complaints

If whilst on holiday you are not entirely satisfied with your log cabin, you should contact Aurora immediately in order that we may attempt to resolve the problem. Failure to follow this procedure will make it impossible for us to put the matter right and may result in the loss or reduction of any rights you may have had in connection with your complaint. If after contacting Aurora you still feel the problem has not been resolved to your satisfaction, then you must put your complaint in writing to “The Proprietors” within fourteen days of your return from holiday.
